The meeting began with an update from Dwaine about his conversations with Donna Chastain

Donna sent Dwaine a link to the existing exit survey. The survey was developed by Academic Affairs and is administered by Institutional Research. The survey is sent via email to employees that are terminated. The response rate for the exit survey is really low and there has been less than 20 received since it was implemented approximately 18 months ago.

Donna felt that it wouldn’t be appropriate for the faculty senate diversity committee to directly conduct a phone exit interviews for peers/colleagues because we never know what may come up and it would no longer be confidential. Therefore, she suggests two options:

Donna felt that we should request from Academic Affairs approval to send the current survey out to faculty that have left the university in the last ten years (see if we could add a question to ask of the year they left).

Contract with an outside entity to conduct the survey

The group discussed our options and then came up with an action plan for our next meeting:

Everyone needs to go through the existing exit survey and consider which questions should remain and which are superfluous.

Dwaine will contact Sal Castillo and ask for the data (20 surveys completed).

Dwaine will contact Susan Capalbo (Vice Provost for Academic Affairs) and ask if we can partner together to propose sending out a survey link to anyone who has departed in the past 10 years. The new version of the survey would be shorter-- and have a date, and include questions that would be focused on the revolving door for women and faculty of color at OSU.

Our committee would agree to do the hard work of locating (addresses for the faculty who have left OSU). Our committee would also draft a cover letter from the Faculty Senate committee explaining our objective in collecting the data. We see this letter coming from US as a possible reason why someone who left might want to complete the exit survey.

Academic Affairs would provide our committee a list of names of people who left the institution over the past ten years.

Our committee would then send out a link to the online survey along with the cover letter.
